Trading group sales CRM

Before

The trading group had four branches, and each branch kept customers in its own file. The Isfahan rep wrote the opportunity in a personal sheet and sent the proposal from a personal inbox. When they went on leave, Tehran did not know the last discount. The sales lead asked four people for files every Sunday and still did not trust the open-contract number.

Contract follow-up belonged to whoever remembered the folder. A Mashhad customer once asked for the second version of the proposal. Tehran sent the first. The customer gave the deal to a competitor, not because of price, but because two branches of one company had quoted two figures. That happened about once a month, and nobody saw it in a report, because there was no report.

What was built

The lead, the activity, the proposal, and the contract landed on one record. The group defined the stages itself: first contact, discovery, proposal, negotiation, contract. A regional rep sees only their region. The sales lead sees all four branches. A discount above eight percent cannot be saved without Tehran's approval.

Conversion, the opportunity owner, and the week's activity mean the same thing in every branch. Nobody pastes spreadsheets together the night before. The follow-up text goes out from the record and stays in its history.

A working day

On Saturday the Isfahan rep logs a call from a trade fair, writes the monthly tonnage, and moves the stage to discovery. On Monday Tehran opens the same record, sends the proposal from it, and leaves a ten percent discount for the manager. The contract stays locked until that answer arrives.

On Wednesday the customer calls. Anyone in Tehran or Isfahan can say which version was last and who promised a two-week delivery. On Thursday the sales lead reads conversion: Isfahan has left three opportunities sitting on a proposal, Mashhad has closed two contracts, and this month's pipeline is one number.

The result

Branch sales share one number. A contract that used to disappear between a laptop and an inbox now has a stage, an owner, and a date. Monday's meeting does not start by passing files around.

The change showed when the Mashhad customer called again. Both branches read the same version. The deal was not lost to a mismatch. The sale is still hard. It no longer depends on one person's memory.
