Three-hotel operation

Before

The group had three hotels, in Ramsar, Chalus, and Namakabrood. Each hotel had its own reservations desk, online channel, and night shift, and the three did not talk. Over the Nowruz holiday a room in Ramsar was sold both on the site and by phone. The guest arrived with a voucher and the desk said there was no room. That night cost money and reputation.

Each hotel's night audit was different. The cashier wrote figures on a slip and the property accountant typed them in the morning. The minibar and the airport transfer waited until month end. Head office called three front-office managers to learn occupancy and heard three different numbers.

What was built

Each hotel's room rack was tied to phone reservations, online sales, the front desk, and housekeeping. A room is free or it is not. The channel sees the same lock the night shift sees. Housekeeping marks a room dirty, in progress, or ready, and the desk cannot hand over a room that is not ready.

Each property keeps its own rate, tax, and report. The night voucher comes out of check-in. Head office reads occupancy and revenue for all three hotels together, without mixing their inventories. Moving a guest from Ramsar to Chalus takes the destination room at that moment.

A working day

At noon an online booking takes Ramsar 412. The rack removes the room at once, and the hotel phone can no longer sell it. The evening shift finds the guest by the booking number. After the previous departure, housekeeping marks the room dirty and check-in stays closed until it is ready.

At night the cashier closes the stay. The minibar and the transfer are on that folio, and the voucher posts to Ramsar's books. In the morning the group manager sees all three properties: Ramsar full, four rooms out of order in Chalus for repair, a group arrival tomorrow at Namakabrood. Nobody retypes the slip.

The result

The Nowruz double sale in Ramsar did not happen again, because there is no second inventory. A guest with a voucher reaches a room that is actually free. The night audit matches the property's books.

The three hotels are still run separately. The method is the same. Head office does not call three people for the occupancy number, and the minibar difference does not wait for month end.
