City-center business hotel

The independent hotel in the city center mostly hosted companies. Companies took rooms through the month and settled at the end. The desk wrote the company name on a slip, and accounting built the invoice from those slips. Once two contracts with similar names were mixed and the invoice went to the wrong company. The explanation meeting with that company's purchasing office took a week.

The meeting room was on paper too. Room sales did not know whether the ground-floor hall had already been sold for that hour. The company guest arrived and found the hall full. The hotel had given the right bedroom and lost the meeting.

What was built

Each company received a credit account with a ceiling, a settlement term, and a rate agreement. A room booking is tied to that account, and the monthly invoice is built from that account's stays, not from desk slips. If the ceiling is reached, the desk sees a warning before check-in.

The meeting hall sits on the same day plan. Room sales and hall sales see one inventory. A company guest who wants both a room and a hall has both on one booking, and a time clash is known before they arrive.

A working day

On Monday Pars Trading books four rooms and the ground-floor hall for Wednesday. The desk ties the booking to the Pars credit account. The system shows the ceiling still has room this month and the hall is free on Wednesday evening. On Wednesday the guests check in and the hall shows that same booking.

At month end the Pars invoice comes from those stays: four nights, the hall, two transfers. The second contract with the similar name is not on it. Accounting sends the voucher, and Pars purchasing sees the same numbers the desk saw.

The result

The invoice did not go to the neighboring company, because the booking is tied to the account, not to a name on a slip. The meeting room is no longer sold apart from the bedrooms.

The hotel is still small, and company guests are still most of the revenue. Settlement at month end no longer comes from the desk's memory. It comes from the bookings recorded through the month.
